Job Title: Area Supervisor (Full Time)

Location: Lebanon / North

Residence in Tripoli City

Reports to: Country Manager

Starting Date:  February 2018

General Description of the Role:

The Area Supervisor represents PACES in the area he/she is responsible for. He/she is responsible to setting the link between PACES and the administrations of the sports clubs that are in partnership with PACES. Continuous follow up with the technical and administrative team and the Country Manager is essential, as well as the ability to quickly accomplish all tasks required within the give time frame.

The Area Supervisor position is a multi-task function that requires high flexibility, excellent time management and excellent organizational skills. The area supervisor performs administrative management duties, supporting the clubs, coaches and children in that area. He / she must have an exemplary eye for accuracy and detail, and can perform all duties and responsibilities while maintaining a positive and professional attitude.

Main Duties:

  • Represents PACES in the supervised areas.
  • Implements PACES ‘vision, policy and objectives.
  • Communicates with the clubs in the supervised areas and the management of PACES
  • Performs general administrative duties such as monthly planning, basic budgeting of activities, report writing, correspondence and scheduling events/meetings.
  • Monitors the execution of the agreements signed between PACES and the clubs in the supervised areas.
  • Ensure that all PACES’ activities in the supervised areas are properly executed as planned and budgeted.
  • Continuous follow up with PACES management and technical team.
  • Performs scheduled field visits to the participating clubs and teams in the areas.
  • Plans for the technical field visits and submit reports and recommendations regarding these visits.
  • Prepares the statistics related to the game (number of clubs benefitting, number of coaches, number of children participating in the program, number of talented children within the program).
  • Submits suggestions related to the activities to be performed within the clubs and the steps to be followed for execution.
  • Supervises the training and technical development of the teams chosen to represent PACES in international and local tournaments.
  • Submits regular monthly reports regarding field visits, activities conducted, and any related issue to the supervised areas.
  • Maintains records and files for the program in that area.
  • Runs additional reports as and when needed.
  • Updates documents, such as the agreements with clubs, schedules, and annexes.
  • Organizes meetings, technical meetings, including recording and transcribing minutes and preparing agenda packages.
  • Prepares and attends team meetings.
  • Communicates in person and via phone and/or email with coordinators, clubs representatives, coaches and staff.
  • Researches, gathers and compiles information from various sources to analyze and produce reports.
  • Prepares a plan for future upgrades of equipment and needs for the clubs.
  • Supports PACES team at an administrative and technical level.
  • Maintains hard copies, electronic logs and archives of program’s transactions. This includes form submissions from coaches and staff relating to clubs, no. of children …. Etc.
  • Evaluates the clubs’ performance during the program’s cycle based on PACES guidelines and the direct supervisor’s instructions.
  • Plans and implement a schedule for visits to clubs and training sessions that includes on average of 10 visits per week; visiting each group at least once per week.
  • Continuous coordination with the clubs to conduct PACES programs’ activities, meetings and gatherings.
  • Conducts inventory for sports equipment and clothes for the children and clubs, and is responsible for the distribution of the equipment and clothes in his / her area.
  • Attends as observer in PACES main activities in other areas
  • Contributes to the selection process of PACES partners in the area.
  • Contributes to the selection process of the coaches’ by conducting interviews with them to validate their ability to conduct PACES practices in collaboration with the technical and other staff members.
  • Interacts with technical team and area supervisors to develop the sports program when needed.
  • Evaluates work progress, identify technical and administrative obstacles in that area and provide possible remedial action.
  • Participates in the planning and preparation of the next cycle’s program (identifying possible new clubs, performing introductory visits with the team …..etc).
  • Performs special tasks as assigned by the Country Manager.

Essential Skills:

  • At least a Bachelor’s Degree in a relevant field from an accredited university, preferably in Physical Education, with a minimum of two years’ experience in this field or related field.
  • Strong interpersonal and communications skills (written, oral, cross –cultural).
  • Very strong organizational skills and the ability to manage a varied and changing workload.
  • Strong management and leadership skills to oversee and lead a large team of part-time coaches.
  • Team spirit.
  • High efficiency and responsiveness in accomplishing requested task.
  • Strong representational skills.
  • Strong report writing skills.
  • Excellent knowledge of MS Office (Outlook, Word and Excel).
  • Excellent knowledge of Internet communications technologies (Skype and Email)
  • Fluency both in written and oral Arabic and English.
  • Ability to travel.
  • Familiarity with sports programs for children will be an added value.
  • Valid clean driving license
  • Owning a car is a plus.
  • Have knowledge in sport; football and basketball is a plus.
